Our Board members typically meet on the last Monday of every other month at 7:00pm at Bethel United Methodist Church (8405 Lima Rd, Fort Wayne, IN 46818). The only exception is our Annual Board meeting in June.
Our Board consists of both At-Large and District Representatives positions. See below for the roles and responsibilities of each position.
District Representative Responsibilities: Each block will have a District Representative. This person will attend Board meetings as often as possible and will be responsible for distributing and/or passing along information to homeowners in their district. These representatives should be available to introduce themselves to new or existing homeowners, answer any questions or direct the questions to the appropriate person, provide bylaws, newsletters or any other information needed. This person may also keep the Board up to date on new or exiting homeowners.
President: The President shall preside at all meetings of the Board of Directors; shall see that orders and resolutions of the Board are carried out; shall sign all leases, mortgages, deeds and other written instruments and shall co-sign at the discretion of the Board all checks and promissory notes.
Vice President: The Vice President shall act in the place and stead of the president in the event of his absence or incapacity, and shall exercise and discharge such other duties as may be required of him by the Board.
Crime & Safety: The Crime & Safety contact will be available to contact by any neighbors with safety concerns. They will assist in reporting crime activity in and around our neighborhood and will communicate with the assigned association officer. This person will attend Board meetings as often as possible.
Secretary: The Secretary shall record the votes and keep the minutes of all meetings and proceedings of the Board and of the members, serve notice of meetings of the Board and of the members, keep appropriate current records showing the members of the Association together with their addresses, and shall perform such other duties as required by the Board.
Treasurer: The Treasurer shall receive and deposit in appropriate bank accounts all monies of the Association and shall disburse such funds as directed by resolution of the Board of Directors, shall sign all checks and promissory notes of the Association, keep proper books of account, cause an annual audit of the Association’s books to be made by a certified annual budget and a statement of income and expenditures to be presented at its regular annual meeting, and deliver a copy of each to the members.
General Maintenance: The General Maintenance contact will coordinate and schedule all neighborhood maintenance, monitor playground equipment, handle tree removal in common areas, monitor sidewalk repairs, street signs in the association, capital improvements, bridge repair and painting, et. This person will attend Board meetings as often as possible.
Contracted Maintenance: The Contracted Maintenance contact will assist in coordinating and scheduling all neighborhood maintenance. They will specifically be in charge of lawn mowing, snow removal, weed control and fertilization services, the sprinkler system, trail lights and replacing doggy bags along the trail. This person will attend Board meetings as often as possible.
Architectural: The Architectural contact will receive and respond to requests from neighbors to make changes to their property. They will ensure that all requests follow the covenants and will ensure that our guidelines are up to date. This person will attend Board meetings as often as possible.
At-Large: The At-Large contacts are those board members that do not have a specific role listed above. An At-Large member serves as a liaison to the general membership. Duties may change as needed to fulfill board requirements and address overall goals.
